Terms & Conditions
Last updated: August 2025

These Terms and Conditions govern the use of coaching services provided by SW Football Academy. By booking or attending any of our sessions, you agree to these terms, which form a binding agreement between you and SW Football Academy. Please read them carefully before making a booking.

Introduction

SW Football Academy operates in Surrey, UK, delivering one-to-one and group football coaching sessions for players of all ages and abilities. The academy is dedicated to developing technical skills, tactical understanding, and the confidence required to excel both on and off the pitch. These Terms and Conditions set out the basis on which services are provided and the responsibilities of all parties involved.

Booking and Payment

Bookings can be made directly with SW Football Academy through our official booking channels. All bookings are subject to availability and are only confirmed once payment has been received in full, unless a prior arrangement has been agreed in writing. Payment must be made using one of the accepted methods and in accordance with the payment deadlines communicated at the time of booking.

Cancellation and Refunds

If you wish to cancel a booking, you must notify SW Football Academy as soon as possible. Refunds are only issued in circumstances where cancellation is made within the timeframes stated in our refund policy, which may vary depending on the nature of the session or programme. Any refunds will be processed using the original payment method. SW Football Academy reserves the right to deduct an administrative fee where appropriate. In the event that a session is cancelled by SW Football Academy due to unforeseen circumstances such as extreme weather, illness, or venue closure, an alternative date will be offered or a credit issued.

Player Responsibilities

All players are expected to attend sessions punctually, dressed appropriately for football training, and equipped with suitable footwear, shin guards, and water. Players must conduct themselves respectfully towards coaches, other players, and venue staff at all times. Any behaviour deemed unsafe or disruptive may result in removal from the session or programme without refund.

Parental and Guardian Responsibilities

For players under the age of eighteen, a parent or guardian must provide accurate and up-to-date emergency contact details and relevant medical information before the player attends their first session. Parents or guardians are responsible for ensuring that players are dropped off and collected promptly from the venue. SW Football Academy cannot be held responsible for the supervision of children outside of the agreed session times.

Health and Safety

While every effort is made to create a safe playing environment, football is a contact sport and carries inherent risks. By attending sessions, players and parents acknowledge and accept these risks. Any pre-existing medical conditions must be disclosed in advance so that appropriate precautions can be taken. In the event of injury or illness during a session, SW Football Academy staff will follow our first aid and emergency procedures, which may include contacting emergency services.

Safeguarding

SW Football Academy is committed to safeguarding all participants and follows The FA’s safeguarding guidelines. All coaching staff hold valid DBS checks and appropriate safeguarding qualifications. Any safeguarding concerns should be reported immediately to the designated safeguarding officer within the academy.

Photography and Media

Photographs and videos may be taken during sessions for coaching analysis and promotional purposes. No images or videos will be used publicly without prior consent from the player or, in the case of minors, their parent or guardian. Consent can be withdrawn at any time by providing written notice to SW Football Academy.

Liability

SW Football Academy accepts no responsibility for loss, damage, or theft of personal belongings brought to sessions. To the extent permitted by law, the academy is not liable for any injury or illness sustained during participation, except where such injury or illness results from proven negligence by SW Football Academy or its staff.

Changes to Services

SW Football Academy reserves the right to make reasonable changes to session times, venues, and coaching staff when necessary. Any such changes will be communicated in advance wherever possible.

Governing Law

These Terms and Conditions and any disputes arising under them are governed by and construed in accordance with the laws of England and Wales. Both parties agree to submit to the exclusive jurisdiction of the courts of England and Wales.

What to include in the T&C document
Generally speaking, T&C often address these types of issues: Who is allowed to use the website; the possible payment methods; a declaration that the website owner may change his or her offering in the future; the types of warranties the website owner gives his or her customers; a reference to issues of intellectual property or copyrights, where relevant; the website owner’s right to suspend or cancel a member’s account; and much, much more.
